List the crews, vehicles and tasks the building will serve. Show which areas can be shared and which need their own storage, access or work space.
Follow a crew through the day
Choose a typical crew and map arrival, vehicle preparation, material collection, departure and return. Repeat the exercise for other teams using the property. Note shared equipment and places where several groups need access at once.
List the vehicles and major equipment with available dimensions and supplier information. Identify confirmed fleet changes separately from longer-term possibilities. The building plans should make clear which assumptions describe opening day.
Separate storage by use
Create an inventory organized around how items are handled. Distinguish frequently collected materials, reserve supplies, repair parts and equipment awaiting work. Ask the appropriate advisers to identify any specialized storage requirements.
Mark receiving and collection routes on the site sketch. Include the people who handle deliveries and the equipment used to move materials. A storage area is more useful when its relationship to the yard and shops is understood.
Define responsibilities and phases
List which departments share support rooms and how those spaces will be managed. Include maintenance, cleaning and records or administrative work where relevant. Ask each user group to review the same room program before the concept is priced.
If the agency expects later phases, identify a specific future function and its likely effect on the operating yard. Ask for a scope that distinguishes the current building from provisions made for possible expansion.
